GETTING INVOLVED
1. I want to join/create a campus group. What organizations exist at University of Toronto Scarborough?

2. How can I get involved with an existing student organization?
During the first weeks of the Fall and Winter term, SCSU hosts Clubs Week in the Meeting Place, where over 100 student organizations recruit new members. Contact the groups you are interested in to find out when new members can join. Look out for postings on the Intranet where campus groups will advertise for executive positions.

3. There is already a student organization that exists with a similar purpose- can I still seek recognition for a new group?
It is suggested that you meet with the current organization to see if it meets your needs and interests. Share your ideas with the executive team to see if the group can incorporate them into the existing group.
If not, you can start a new group however make sure there is an obvious difference. If you need help starting a new group, please contact a peer educator at campusgroups@utsc.utoronto.ca
RECOGNITION
4. How do we start a club or group at the University of Toronto Scarborough Campus?
For University of Toronto at Scarborough (UTSC), please apply online directly from this website. Under the Get Recognized tab, follow the “How to:” Apply for Recognition instructions. The contact person for your group can log on to the site to apply for campus group recognition with his or her UTSCid and password. (Yes, this is the same UTSCid and password that you use for access to the Intranet.)
Applications for campus group recognition are accepted throughout the year except for the month of September as groups are renewing their recognition at this time.

5. Does our group’s recognition expire?
Yes! Organizations should take note of the fact that recognition expires September 30th. Groups must renew their U of T Scarborough recognition in order to continue to use University facilities and the University’s name. This includes maintaining UTSC email accounts and web sites, continued use of other services and resources, and use of University space for activities. Please complete this process prior to April 30th so that you can continue receiving information on Clubs Orientation, Clubs Week and training opportunities.
6. How does our group renew its recognition?
Please review the steps listed here. The main contact person listed on the profile needs to log in using their UTSCid and password by April and submit the following updated information: main contact person, signing officer, new executive team members and constitution.
Once this information is received, an appointment will be set up for the Recognition Agreement to be signed and for groups to receive a bank letter in order transfer accounts.
CONSTITUTIONS
7. How do we write our group’s constitution? Is there a template I can use?
There is a Constitutional Template available for campus groups to use at UTSC found here.
Groups can use it as is, or modify and edit it as needed. Please note though that all points addressed in the constitutional template must be included the group’s current constitution. Contact the Scarborough Campus Organizations Peer Education team who can assist you with writing an effective constitution. They can be reached via email at campusgroups@utsc.utoronto.ca.
8. We don’t have a copy of our group’s old constitution? How do I obtain one?
To request a copy of your group’s constitution, please email campusgroups@utsc.utoronto.ca.
BOOKING SPACE
9. How do we book space on campus for meetings/events?
Once your campus group is recognized, any individual listed on your club’s profile can book space.
Under the Request Space tab, the ” Booking Form” accepts UTSCid and password (e.g. 08jonesa) to verify individuals on your profile.
The option to request space appears beside the campus organizations listed.
10. What can be booked through the Department of Student Life’s space request form?
Space on campus outside of the Student Centre can be requested through the online form.
TO BOOK SPACE ON CAMPUS, CAMPUS GROUPS MUST FILL OUT THE ONLINE FORM. Please do not visit or disturb other campus departments and representatives as this only slows down the process.
11. Why do we need 7 days to book classroom space on campus? 14 days for Athletics space?
The Department of Student Life facilitates space requests for campus groups but does not have the ability to book and confirm space.
When groups submit the form online, it is forwarded to other campus stakeholders who then approve or deny the request. As soon as Student Life receives a reply, the group is then notified of the outcome. Campus groups are asked to submit their requests well in advance so that their request can be accommodated.
12. If I book a room, can I use the adjacent hallway/common space?
No. For example, if you are a group who has booked a lecture hall for show a movie, you cannot use the adjacent space in the hallway to act as a ticket or concession stand.
Booking a classroom means having your activity contained within the space.
13. Who can use the space that has been booked?
Recognized Campus Groups may not book space for, or sponsor, non-university groups or activities. By booking space through the online form, it is recognized that the space requested is for the sole use of the recognized campus group and not for any other organization.
This will be strictly enforced. External organizations may book space at the Scarborough campus through Retail & Conference Services .
14. How do I book a room in the Student Centre?
To book a room or table in the Student Centre, please email scsubookingsystem@scsu.ca with the following info:
- Club Name
- Date & start/end time of booking
- Room Preference
- Contact name and email
Please note, booking requests must be made a minimum of 48 hours in advance and requests are processed on a first come first serve basis.
Each club is allowed a maximum of 10 hours per week of booking.
15. I need a room/AV/table for the Student Centre. Who do I contact?
For all inquiries involving the Student Centre, please contact the Scarborough Campus Students’ Union (SL 108), or via phone at 416-287-7047.
SERVICES
16. How do we get web space and a UTSC email address for my group?
Please submit a request to Emzhei at echen@utsc.utoronto.ca This e-mail address is being protected from spambots. You need JavaScript enabled to view it with the subject line “Email/Web Access Request” and list your campus group.
17. We already have a UTSC email address for our group but forgot the password. How do I reset it?
Please contact Emzhei at echen@utsc.utoronto.ca with the subject line “Email/Web Reset Request” and list your campus group.
18. I want to modify our campus group website. How do I access the public HTML directory?
Use the following ftp://<CLUBEMAIL>@fissure.utsc.utoronto.ca/./public_html to access your public HTML folders. In the <CLUBEMAIL> brackets, include your email prefix (e.g. MESA).
19. How do we post announcements on the Intranet? Is the sign up option for events available for our group?
Intranet announcements can be posted for your campus group. Please email Emzhei (echen@utsc.utoronto.ca) and up to three (3) attachments. Please remember to include a date for removal. Due to the large volume of requests received for sign ups on the Intranet, this request cannot be accommodated for clubs.
20. I have an awesome event/volunteer opportunity/dance party that I want to promote. Will you do a mass email for me?
No. However, please look to using the Intranet, your group’s own web space or hosting a table on campus to promote your group’s activities and events. To set up a table on campus, a request must be submitted online as well. Also contact the Scarborough Campus Organizations Peer Education (SCOPE) team who can assist you with your marketing needs. They can be reached via email at campusgroups@utsc.utoronto.ca.
If you are interested in having a table set up in the Student Centre, please send an email to the Scarborough Campus Students’ Union at scsuroombookingsystem@scsu.ca. Include club name/club id number, date & start/end time of booking. There is a maximum of 10 hours per week to be booked. All requests should be made no less than 2 days before the date needed.
21. I want to hang a banner in the Meeting Place to promote my club’s event. How do I do this?
Your banner needs to be approved by the SCSU in SL 108. It then has to be approved by Facilities Management, in SW 303.
Once you obtain approval from both parties, please email echen@utsc.utoronto.ca to have a work order put in on your group’s behalf (to hang the poster).
Posters are generally 6 feet long and 3 feet high.
22. My event needs tables/chairs/garbage bins. How can this be arranged?
When an event is submitted on the Campus Groups website, facilities management requests are noted and submitted by the Department of Student Life. The associated costs are covered by the Campus Life Fund.
23. My event requires audiovisual services (projector use, microphones, speakers). How can this be arranged?
By submitting your event on the Campus Groups website, audiovisual services are notified of your request. You must check off the box in the online booking form to indicate that you require AV set up. A representative from your group MUST then personally contact them at audio-visual@utsc.utoronto.ca, via phone at 416.287.7380 or visit their office at AC 200 to make necessary arrangements.
Please mention your FOUR digit event number (e.g. 2475). The associated costs are covered by the Campus Life Fund.
24. How does a student organization open a bank account?
Please provide the most up to date signing officers on your club profile. You can update your signing officers here. An email should then be sent to echen@utsc.utoronto.ca ,which includes “Bank Letter” in the request. They will be available for pick up within 48 hours at the front desk of SL 157.
25. Are there resources to help our group or its leaders develop?
Of course there are! The Scarborough Campus Organizations Peer Educators are a resource for all students and campus groups. They offer workshops and one-on-one consulting for any of your needs. If you have questions or would like more information, please contact them via email or visit them during their office hours.
Additionally, iBuild under the Leadership Development program offers organizational development opportunities throughout the year. The uLead certificate is also a great opportunity to gain skills in a group leadership setting.
